CONTEXT

Project Context

ZUPDECO supports thousands of pupils struggling at school by matching them with volunteer tutors. With growing activity, the informal tooling (spreadsheets, free SaaS tools) could no longer handle the volume or the complexity of matches, educational follow-up and administrative management.

The non-profit needed a coherent Information System, accessible to all stakeholders (teams, tutors, pupils, sponsors), respectful of the confidentiality of minors, and compatible with a strict non-profit budget: hence open source by default.

Adservio's Tobogan team mobilised as part of skills-based sponsorship: engineers on long-term assignment at ZUPDECO, designing and developing a complete IS over 36 months, with knowledge transfer to sustain the autonomy of the non-profit.

Bespoke IS

Design a modular, open source Information System for the ZUPDECO non-profit, covering member management, school tutoring (pupil/tutor matching), event management, non-profit accounting and communication.

Maximise the use of robust open source building blocks (Postgres, Symfony, Strapi, Metabase, Mailtrain) to limit recurring costs, guarantee data sovereignty and enable the non-profit to evolve autonomously.

Guarantee WCAG 2.1 AA / RGAA accessibility and GDPR compliance with sovereign hosting in France, because an educational non-profit must be exemplary in protecting the data of its beneficiaries.

Member/sponsor CRM module (Postgres + Next.js), tutoring platform with pupil/tutor matching management (Symfony + React), educational follow-up and impact reporting for the non-profit and its partners.

Events & ticketing platform (Strapi + Stripe), donation accounting module with OCR on tax receipts and automation of sponsor follow-ups: all non-profit management within a single, coherent IS.

Newsletter & Social Media module (Mailtrain + APIs), social impact dashboard (Metabase + DBT) to continuously measure the number of pupils supported, hours of tutoring and longitudinal progress.

The industrialisation of the matching process and automated educational follow-up enabled ZUPDECO to increase the number of pupils supported by 12% this quarter, with a constant number of tutors.

1,850 pupils matched with 620 active tutors, totalling more than 3,400 hours of tutoring per month: the social impact is now measured and steerable in real time via Metabase.

WCAG 2.1 AA accessibility

All interfaces comply with the WCAG 2.1 AA and RGAA standards, guaranteeing the accessibility of the platform to all beneficiaries and tutors, whatever their disability.

GDPR & FR hosting

Full GDPR compliance, sovereign hosting in France, validated DPO audit. The data of minor pupils and their families is protected to the highest level of requirement of the European regulation.

Controlled operating cost

The exclusive use of open source building blocks limits recurring costs, maintenance is shared with the Tobogan team and hosting costs remain compatible with a non-profit budget.
